ABOUT THE OPPORTUNITY

Methanex is currently seeking a qualified Administrative Assistant, Inspection to join our team in Medicine Hat, Alberta.

As our new Administrative Assistant, Inspection your primary responsibility will be to provide administrative support to the inspection team in relation to the completion of inspection planning, documentation management, and reporting activities while also supporting other administrative activities in response to business needs as they arise. This position is temporary to support the increased administrative workload for the 2020 Turnaround.

More specifically your responsibilities will include:

  • Supporting the inspection team through the preparation of documents, spreadsheets, and presentations as well as editing reports. 
  • Assisting in the control and the maintenance of inspection policies and procedures as well as further facilitating document control including hard copy printing, hard copy filing, and electronic filing. 
  • Coordinating with the Quality Advisor in the Responsible Care team regarding updates to the inspection team information on MIKE (intranet).
  • Ensuring adherence to the responsibilities outlined in the Controlled Document Control procedure. 
  • Tracking pressure equipment updates and managing drawing folders as well as P&IDs for the inspection team. 
  • Updating inspection forms and tracking spreadsheets.
  • Acting as the Inspections Sharepoint Administrator.
  • Tracking regulatory inspections of pressure safety valves (PSVs) and communicating with the planning team regarding the scheduling of work orders for those inspections and any needs for deferrals. 
  • Following up with the planning team and providing feedback related to completed work orders. 
  • Using the KMI system to track non-conformance reports identified in the ABSA audits and documenting the successful completion of audit items. 
  • Gathering and collating statistical information including failure modes on PSVs and other equipment related to the ABSA audits.
  • Acting as the custodian of inspection team workflow by tracking word orders, completing data entry, and maintaining the master register. 
  • Monitoring and tracking certificate expiry dates for inspectors.
  • Tracking the training needs of inspection team members, generating a training curriculum for team members, coordinating training dates, and updating the training completion within the Active Learner training database. 
  • Acting as the super-user for the inspection database, including the completion of inspection-related data entry and generation of custom reports. 
  • Supporting the development of procedures related to the inspection database. 
  • Training contractors on the use of the inspection database. 
  • Developing and demonstrating competency in quality control in order to support inspectors in work order and report viewing. 
  • Reviewing and logging Materials Test Reports to ensure compliance with the ASME code. 
  • Reviewing and auditing complete work order packages. 
  • Scheduling meetings, inviting participants, and preparing agendas before preparing and distributing meeting minutes. 
  • Actively participating in Toolbox meetings and safety meetings including the preparation of presentations when required. 
  • Maintaining office supplies and ordering office supplies as required.
  • Combining and completing expense reports for inspection team members including Diners Club credit card expenses. 
  • Preparing timesheets and tracing leave requests for inspection team members. 
  • Providing relief support for plant reception as a member of a multi-member administrative support roster.
  • Conducting all business in a manner that supports the Responsible Care ethic.
  • Coordinating safety orientations for contractors. 
  • Participating in housekeeping and safety audits as required. 
  • Completing behavioural safety observations in conjunction with the site EOS program. 
  • Contributing to the organizational vision of Global Methanol Leadership and as a team member demonstrating the core values of trust, respect, integrity, and professionalism. 
  • Undertaking all aspects of the role through living the Methanex values. 
  • Proactively contributing to the development and implementation of administrative practices and processes that improve services. 

In order to qualify for this role, you will need a post-secondary diploma in administrative office management or a related technical discipline along with at least three years of experience in an administrative role. An equivalent combination of education, training, and experience may also be considered. Formal training and/or advanced proficiency with the Microsoft Office suite of programs especially Word, Excel, Outlook, and PowerPoint is considered an asset. Previous experience maintaining documents and databases in an industrial environment is also an asset as is previous experience with a Computerized Maintenance Management System (CMMS) such as Maximo and/or an Asset Integrity Software such as Visions.
