ABOUT THE OPPORTUNITY 

Methanex is currently seeking an Administrative Assistant(Reception and Finance) to join the team in Medicine Hat for a temporary, assignment replacement position (with an anticipated commencement on or about March 26, 2018, for an anticipated duration of approximately five months through August 31, 2018).   

In this role, you will act as the first point of contact for visitors, contractors and vendors at site reception, support the site as the primary user of the site security system, and provide superior administrative support to the Responsible Care and Finance teams in a professional, timely and accurate manner. 

Key accountabilities include: 

  • Administering and maintaining the site security system, including its associated hardware, software, and related supplies
  • Coordinating exposure hours for various reports
  • Supporting the accounts payable function by entering invoices in the accounting system for payment, ensuring correct approval, coding and matching with purchase orders
  • Administering indoctrination databases and related documentation, as well as coordinating the scheduling of indoctrinations
  • Administering the site credit card program
  • Maintaining vendor statements and files
  • Administering the Delegation of Authority log
  • Supporting the administration of EOS and MIKE
  • Acting as the first point of contact for site visitors and incoming calls
  • Developing reports, graphs, schedules minutes and other documents, as required
  • Coordinating MSDS updates
  • Supporting document control activities
  • Overseeing PPE in the administration building
  • Coordinating functions, meetings, and event planning
  • Facilitating department travel
  • Administering incoming and outgoing mail
  • Performing other duties as assigned

To qualify for this role, you will have a post-secondary diploma in Office Administration or a similar discipline and a minimum of three years of previous experience in an administrative role

In addition, you will also demonstrate: 

  • Proficiency with the Microsoft Office suite of programs, specifically Excel, Word, Outlook, and PowerPoint, as well as other project management tools and software
  • Previous experience in accounts payable (preferred)
  • Previous reception experience (asset)

This role is well suited to someone who is customer-focused and who is dedicated to meeting the expectations of internal and external customers. You will also have superior interpersonal skills, including a strong ability to develop and maintain positive relationships with a variety of stakeholders and be sensitive to cultural differences. 

Sound judgment and the ability to make valuable decisions based on a mixture of analysis, wisdom, and experience will serve you well in this role, as will the ability to maintain information in absolute confidence. Flexible, adaptable, and self-motivated, you have the ability to work independently and collaboratively within a team, but also work with limited supervision. 

Above all, you will be extremely organized and detail-oriented with strong time management skills and the ability to manage several competing priorities simultaneously.
