TELUS Technology Strategy and Business Transformation is seeking the professional skills of an experienced Executive Assistant to provide professional, confidential executive support to one Vice President in Edmonton.

As the Executive Assistant for Technology Strategy and Business Transformation you are a very strong organizer, communicator and proactive individual who thrives in in a fast-paced, technical environment. You are a team player and you work well and enthusiastically with a wide variety of people at all levels of management. You are a resourceful self-starter and have a customer-oriented mindset.

Your mandate will involve artfully and thoughtfully managing numerous programs and activities with a high level of professionalism, collaboration and confidentiality.

Here's how
    •Act as a liaison with internal and external customers, vendors, and team members, managing and prioritizing business meetings and activities
    •Screen and respond to incoming correspondence, inquiries and phone calls with tact and diplomacy
    •Organize and run monthly team meetings, learning sessions
    •Manage and prioritize calendar scheduling, travel arrangements, email requests and expenses for VPs and broader team, as applicable
    •Follow up on deadlines and commitments to or from executives
    •Process a variety of materials from draft format (dictation, handwritten notes) or detailed instructions, including letters, memos reports, submissions to governments and tribunals, legal documents, presentations utilizing Microsoft Word, PowerPoint, Excel and Outlook
    •Budget reporting and tracking on a monthly basis
    •Be available outside of normal working hours to provide support to the executive on urgent matters, tight deadlines as required
    •Coordinate stationery ordering, internal provisioning requests, real estate requests, maintain equipment and services
    •Manage special projects as required



Qualifications:

    •Professional corporate image combined with strong interpersonal skills, and an ability to communicate in a professional manner with senior executive management, internal and external stakeholders (verbal and written)
    •Precise and effectively written e-mails; ability to edit correspondence and reports and to prepare materials for submission to governments and tribunals
    •Independent judgment, discretion and diplomacy
    •Resourceful, with the ability to prioritize, multitask and meet deadlines with minimal supervision to meet the needs of internal clients
    •Willingness to work in a role that requires high degree of flexibility in terms of rapidly changing priorities
    •Strong organizational skills with the ability to pay close attention to detail while under tight timelines
    •Ability to exercise initiative in adapting procedures to address unusual problems and resolves conflict
    •Advanced knowledge of MS Outlook; multiple calendar management, comfortable dealing with multiple time zones, highly organized archiving skills
    •Intermediate knowledge of MS Word; ability to edit reports according to branding and template standards
    •Intermediate knowledge of MS Excel; ability to work within large and complex spreadsheets
    •Intermediate knowledge of MS PowerPoint; ability to create animated slide decks, and graphs according to brand and template standards
    •SAP knowledge and experience would be an asset
    •Minimum of 5 years of experience in a similar or equivalent role supporting one or multiple senior executives
    •Exposure to administrative support responsibilities in a senior management environment
    •Experience in legal and/or government relations environment an asset
    •Post-secondary degree or diploma
    •Legal Secretarial Program certificate an asset
    •Knowledge of Google Suite

    •Bilingualism (French is an asset)
