IHLA Office Coordinator:
You will work with multilingual schools, organize the annual MLD celebrations, and represent the IHLA association honestly and with integrity.

Background:

International and Heritage Languages Association(IHLA) is a not-for-profit association established in 1977. We pride ourselves on our annual MLD ( Mother Language Day), which celebrates our member schools. We encourage continuing education in all languages and sustain the mother languages from generation to generation. We support our members' schools, celebrate our annual MLD, and continue mentoring each other to become better mother language educators.

This independent contractor position requires the support of the board of directors, the executive officer, all its IHLA heritage languages member schools, external government stakeholders, and AGLC( Alberta Gaming Liquor and Cannabis). You have the opportunity to enjoy working with many members from different backgrounds. 

What will you do?

  • Assist with planning, program coordination, volunteer management, membership recruitment, program evaluation, and event coordination.

  •  Implement programs and initiatives based on board directions and budget.

  • Public relations and communications resources are according to Communications and Engagement current and future plans.

  • Support the PD committee and provide training and educational opportunities, including presentations, workshops, and information-sharing.

  • Understand how to research and compose content for educational programs, websites, newsletters, social media, and promotional materials.

  • Respond to executives, board members, schools, donors, and stakeholder inquiries.

  • Uphold task completion on schedule, with minimal interference with the board's decisions. 

  • Compliance to the team and your assigned duties.

  • Complying with IHLAs privacy and respecting the ownership of IHLA's data, computers, office equipment use information, and the entire equity of IHLA stays within the association.

  • Manage program files, ensuring accurate documentation and organization.

  • Additional duties are required as presented.

Skills required for success:

  • Knowledgeable of all current computer technology and programs that integrate within social media, Google Docs, Zoom, PowerPoint, Excel, etc. 

  • Ability to fulfill basic office administration

  • Capable of working independently with minimal supervision while also effectively contributing to a larger team environment and public relations.

  • Managing to deal with potentially stressful and challenging situations.

  • Enjoy working in a hybrid setting.(Willing to work in IHLA’s office approx. five days a week)

  • Excellent communication skills, both written and verbal. Effectively correspond with stakeholders, supervisors, board of directors, members, vendors and the public.

  • Works within their scope of time and manages deadlines accurately and effectively.

  • Highly organized to maintain, track, and record program data information.

  • Alignment to our Cultural Commitments and Leadership Competencies.

  • Embracing a culture of equity, diversity, reconciliation, and inclusion.

  • Well-versed in the governance of the Societies Act and Roberts Rule.

  • Other: skilled in grant writing, funding, duties required for the sustainability of non-for-profit associations, and being open-minded to further decision-making that may arise.

  • Ability to manage IHLA's workload, which fluctuates over the school year, with accuracy, thoroughness, and attention to detail.

  • Ability to communicate well with others.

  • Ability to work as part of a team and collaborate on solutions

Qualifications:

  • A minimum of  1-2 years experience in administration duties, program coordinator, budgeting, grant writing, fundraising, communication, marketing or in the related field. 

  • Post Secondary Degree in marketing, communication, and public relations.

  • Degree or diploma in business, communications,marketing, public relations, or a related field.

  • Knowledgeable in graphic designs, Microsoft , Apple, Societies Act, Rules of order and proper governance for a non-profit association. 

  • Valid First Aid certificate or enrolled in a future course

  •  Valid Class 5 non-GDL license.

Hours of Work

Temporary Independent contractor
20  hours per week, Monday - Friday

Rate: $23 - $28 per hour

Hours of work may sometimes be subject to the terms and conditions of a variable hours of work program. There may be required evening work during board meetings, PD, or events that occur over the 10 months of the year.
