Position Overview:Reporting to the OEM Customer Service Supervisor, the Parts Administrator supports the Exchange team and program. Responsibilities mainly include, but are not limited to, administrating OEM core receipt/component shipping, seeds, core attrition, condition level changes and processing OEM purchase orders and invoices.

Job Description:

  • Provide administrative support for the new inventory addition process
  • Open work orders for Finning tracking purposes
  • Ensure the core return policy is administered through the system, issuing zero dollar core credits, as well as ensuring outstanding cores are followed-up with at the branch level
  • Follow-up with customers and vendors regarding delays, errors, and quality issues
  • Recognize and investigate problems with the system or invoicing and make recommendations to rectify
  • Support OEM branches and Finning departments to improve knowledge and understanding of parts/exchange components procedures and performance to improve overall supply chain effectiveness
  • Collaborate with Inventory Planners, supervisors, supply chain group, branches, OEM, and cross-functional groups within company to proactively identify and mitigate any issues, as well as developing solutions to continuously improve the performance of our supply chain
  • Monitor inventory inbound and on-hand within OEM rebuild warehouse and solve problems when they arise regarding this inventory
  • Provide backup to other roles during vacation, travel, or high volume periods
  • Accountable for interface with vendors, M3 Infor (Lawson) system coordination and transactions including invoicing and administrative support


Qualifications:
  • Post-secondary education - Operations Management, Supply Chain Management, Engineering, Business or equivalent experience in a related field
  • Previous office administration and customer service experience
  • Excellent verbal and written communication skills, analytical skills with a high attention to detail, and the ability to set priorities and meet tight deadlines
  • Strong organizational skills along with the ability to problem solve
  • A team player with strong interpersonal skills
  • Proficient in MS Office applications, advanced level in excel and internal systems
  • Willingness to understand and adhere to Finning policies and procedures, including safety
  • Knowledge and understanding of, or experience in end-to-end supply chain management within heavy equipment, automotive, utilities, mining, parts or retail industry would be preferred
  • Experience with M3 Infor (Lawson) is considered an asset
