Role Summary:

The Service Administrator is responsible for assisting the Service Manager in ensuring the Service department operates at optimal levels. S/He will assist with supervising operations of frontline Service staff (Lot Associates and Service Receptionists).

ROLE & RESPONSIBILITIES:
  • Assist and supervise daily duties of Lot Associate and Service Receptionists
  • Assist and supervise daily operations of inbound Call Center Agents and communications with the CCC appointment bookings
  • Manage service loaner fleet, ensuring the correct number of vehicles are added and returned to sales department.Maintain vehicle cleanliness and ensures vehicle issues are resolved in a timely manner.
  • Manage seasonal tire storage program, keeping losses to a minimum.
  • Answer incoming calls professionally and redirecting them where appropriate
  • Take accurate minutes at department meetings
  • Maintain shop supplies, stationery and other office supplies
  • Review and coordinate office procedures to ensure that company policies are being met
  • Receive and sort daily mail, courier, and other deliveries.
  • Conduct bi-weekly payroll. Enter and submit support staff timecards.
  • Maintain employee calendar
  • Assist in month-end closing.
  • Maintain cleanliness of customer lounge and café.
  • Must follow company safety policies and practices, and immediately, report any and all accidents to a manager.
  • This position will be expected to perform other duties as assigned by management.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
  • 2 years of experience in customer relations.
  • Strong organizational and people skills.
  • Good computer skills and ability to maintain records using a computerized appointment system.
  • Ability to communicate with others and to assimilate and understand information, in a manner consistent with the essential job functions.
  • Ability to make sound decisions in a manner consistent with the essential job functions.
  • Ability to work constructively with members from all departments within the dealership.
