Position Overview: Is responsible in ensuring: timely printing and delivery of required paperwork for work orders to the shop floor, processing of the estimate & quotation for all assigned Finning Remanufacturing components, creation of shipping paperwork for all assigned Finning Exchange components, pricing & invoicing of work orders and electronic filing of all associated paperwork. Will coordinate his/her activities with internal and external customers to ensure the timely processing of all job functions, while providing a superior level of communication and customer service.

Job Description:

Major Job Functions:
  • Create and distribute daily reports to internal and external customers
  • Print and distribute work orders in a timely fashion
  • Responsible for ensuring timely and accurate distribution of document change notifications (DCNs) to the floor
  • Preparation/creation of estimates for work required to rebuild components using the information received from production.
  • Detailed review of the estimates created ensuring the information contained in the report is accurate (includes labour, parts, service letters, 0R core credits, etc.)
  • Preparation of quotations, where required, to include all appropriate parts, labour and additional information
  • Working with the necessary parties - internal and/or external, to resolve discrepancies impeding successful quotation completion
  • Daily communication with other Service Billers and Customer Service Team to ensure alignment of activities and consistent application of OEM processes
  • Create requests to Finning Canada to process paperwork to ship finished components from OEM to Finning Branches
  • Process internal OEM paperwork for shipments of finished components from OEM to Finning Branches
  • Coordinate with Finning Buyers on rush shipments from OEM to Finning Branches/End Users
  • Verify proof of delivery and create/distribute reports to internal and external customers
  • Pricing invoices for Finning Accounts Receivable
  • Process Accounts Receivable invoices for Finning and Non-Finning customers
  • Scanning of files to OEM Remanufacturing's electronic filing system
  • Close/process internal fabrication work orders
  • Ensure uninterrupted office supply ordering and maintain 5S standards in supply rooms/cabinets
  • Provide break and lunch phone coverage for receptionist
  • Other administration duties as required
  • Ensure work order travelers are printed and distributed in a timely manner so as not to disrupt production schedules
  • Ensure all estimates and quotes are complete and accurate prior to approval, and within a timely manner
  • Ensure all shipping paperwork is requested and completed in a timely manner so as not to delay shipment of components
  • Maintain positive relationships and work collaboratively with all departments within OEM, as well as the Finning Exchange Team


Specific Skills & Knowledge:
  • Strong problem-solving ability
  • Excellent interpersonal skills
  • Demonstrated analytic, written, and oral communications skills
  • Excellent prioritization and organization skills
  • Strong working knowledge of MS Office, particularly Excel


Education & Experience:
  • Experience in a service billing environment, preferable in the heavy equipment industry is considered an asset but not a requirement
  • Diploma in business or equivalent is considered an asset but not a requirement


Note:
  • Hours of Work: 40hrs/week
  • Work is regularly performed inside in an office. Work area is adequately lighted, heated and ventilated
  • Will spend a portion of time sitting and using office equipment and computers. May require some lifting of supplies and materials from time to time (under 10 lbs.)
  • Requires the use of personal protective equipment in designated areas (i.e. Manufacturing Environment)
  • Must exercise extreme safety and precaution at all times Manufacturing areas in the facility
  • The work area involves everyday risks or discomforts requiring normal safety precautions typical of such places as offices, meeting and training rooms, shop floor etc.
  • Use of safe work practices with office equipment required
