Position Overview: This position is responsible for providing support to the Technical Training department, liaison between branches to the instructor and notify tech training management of any cancellation/no shows to classes. Along with coordinating the related training requirements, following up on the status of the learner from the point of enrollment to completion, confirm transcripts, process expense claims. Each coordinator is the main point of contact between the branch and the Facilities and is responsible for 4-6 technical professional trainers.

Job Description:

Major Job Functions:
  • Filtering calls from the branches for the upcoming classes and what they need for training (establishing a branch contact and educating them on the processes for enrolling and specific training plans i.e. Prerequisites; track and confirm registrations, work with multiple calls from branch inquiring what courses are offered
  • Assist in expense claim process, field calls from sales reps requesting training for customers; track completed training and provide history/summary reports when needed (to the branch and to Tech Train management)
  • Assist in organizing the training schedule for the trainers (the instructors are given direction as to what to teach and once the schedule's approved, coordinators made sure that training rooms are available and booked; coordinators run reports on skills gap for the branches/regions to aid in management creating the schedule)
  • Entering into LMS and Reg tracking for classes
  • Follow up on status of learner from point of enrollment to completion and certification; invoice (where applicable) and note no shows, cancellations, and provide certification docs; liaison for branch to instructor and notify tech train management of roadblocks and bottlenecks (i.e. Excessive cancellations, non-responsive to enrollment requests)
  • Efficiently process PO requests and Invoices in a timely manner
  • Ensure all cost recovery is completed on time monthly to meet monthly budget requirement.
  • Liaise with the sales personnel and facility contacts to provide support for external training requests

Education & Experience:
  • Post-secondary certificate or diploma
  • 2-3 years of experience in an administrative role
