The Opportunity

WSP is currently seeking an Administrative Assistant, Supply Chain Management (SCM) to join our team located at our Calgary office. This position is reporting to the Director, Supply Chain Management. The role is essential to an efficient and coordinated procurement service offering. The Administrative Assistant, SCM will be involved throughout the project SCM process. The role will also provide a variety of beneficial organizational services to the project and the SCM department.

What you can expect to do here:
  • High Proficiency of working in Oracle Unifier for day-to-day Supply Chain tasks is a mandatory requirement.
  • Effective understanding of Oracle Unifier design and workflow process of Supply Chain to communicate with Oracle and implementation partner for the system modification, enhancements, and updates.
  • Training new hires in systems like Oracle Unifier, BIM 360, PROCORE and SharePoint.
  • Support project accounting in the processing of supplier and contractor invoices, maintain. tracking logs of accruals as well as spend profile and initiate /coordinate cash calls.
  • Assist Director, Supply Chain Management for routine tasks including but not limited to record keeping, coordinating/preparing supply chain related proposals, presentations, departmental tasks, Communicaton, and distribution.
  • Support and assists Buyers, Expeditors and Supplier Quality Surveillance with various commercial activities in the execution of client project requirements.
  • Perform the functions of a Junior Buyer and/or Expeditor as opportunity and needs permit.
  • Thorough understanding of SCM requirements for major projects and sets up project tools, documents, and Communicaton plan accordingly.
  • Well versed with working on BIM 360, SharePoint, PROCORE, PMIS. Knowledge of setting up and maintaining project SCM documents.
  • Responsible for the upkeep of procurement commodity and supplier database in SCM systems.
  • Update, generate and distribute SCM reports, as needed.
  • Assist in the preparation and distribution of project procurement information as per SCM procedures.
  • Set up/attend meetings and maintain minutes as well a status of follow-up actions. Distribute the minutes in accordance with approved procedure/protocol.
  • Perform any other business tasks and functions assigned by the Director, Supply Chain Management,

What you'll bring to WSP.

The Administrative Assistant, SCM is required to have the following qualification, knowledge, and experience:
  • 3 years of related education and/or experience.
  • Diploma in Supply Chain Management is a mandatory requirement.
  • Additional certifications like Lean Six Sigma (Green or Black Belt) will be considered an asset.
  • Knowledge of working on PROCORE, PMIS, Oracle based systems (Horizon and Unifier) is a mandatory requirement.
  • Expert in Microsoft Office including Excel, Word, PowerPoint, Visio, Access
  • Excellent communication, analytical and interpersonal skills
Remuneration: $51,753$ - $58,500 CAD
